Office Relocation: Moving a Workplace With Minimal Downtime
Office relocation is the planned move of a business from one workspace to another: desks and chairs, computers and phones, filing, meeting rooms, break-room contents and the boxes that every employee owns. The goal is that people leave on Friday and sit down at a working desk on Monday.
Describe the job and add your city. Free to request, no obligation.
What separates an office move from a household move is coordination. Two buildings have elevator bookings and loading-dock rules, IT needs to power down and back up in a set order, and every workstation has to land in the right place on the new floor plan. Most of the labour is done in the evening or over a weekend.
The sooner the plan exists, the cheaper the move tends to be. Tell the specialist in your quote request how many people and floors are involved, whether furniture is moving or staying, what IT equipment is coming and the date you have to be out.
What the work includes
- A written move plan with timing, crew size and equipment
- Labelling of workstations and rooms to match the new floor plan
- Packing of desk contents, files and supplies in crates or cartons
- Moving of desks, chairs, tables, storage and filing cabinets
- Separate handling of computers, phones and peripherals
- Protection of floors, walls, door frames and elevators at both sites
- Placement of furniture and boxes in the right rooms on arrival
- Removal of packing materials and empty crates

Signs your business is ready for a planned office move
The lease is ending or the landlord is renovating the floor
The team has outgrown the space or is shrinking into a smaller one
Two offices are merging into one
A new location is being fitted out with a firm opening date
A building rule or elevator booking makes a self-managed move unrealistic

Assessment
A specialist reviews the plans or walks the old space, checking access, elevator rules and what is moving.
Written plan and quote
You receive the timeline, crew, packing approach, IT handling and price.
Pre-move prep
Staff receive labels and packing guidance so each desk is ready on move day.
Move and settle
The crew moves floor by floor, places furniture on the new plan and clears the empties.
What changes the price
- Headcount and floors
- More workstations and more floors mean more crew hours and more elevator trips.
- Distance and building access
- Long carries, stairs, small elevators and loading-dock windows slow each trip.
- Packing responsibility
- Staff packing their own desks costs less than the movers doing it all.
- Furniture handling
- Systems furniture that must be taken apart and rebuilt adds labour compared with loose desks.
- IT equipment
- Servers, networking and workstations usually need separate care and a coordinated shutdown.
- Timing
- Evening, weekend and overnight work can cost more but protects business hours.
What a good quote spells out
- A written timeline with the shutdown and power-up windows for your IT
- Who packs what, and what is supplied: crates, cartons, labels
- How building rules, elevator bookings and certificate of insurance requests are handled
- Coverage on your goods during the move, written down and explained
- What happens if the move runs past the planned window
Office Relocation: questions people ask
How far ahead should an office move be planned?
Earlier is better. Larger offices benefit from a couple of months to book elevators, order crates and prepare staff, while a small office can be organized faster if the details are clear.
Can an office move happen over a weekend?
Yes, many are scheduled for evenings or weekends so the business can reopen on Monday. Mention the deadline in the quote request.
Do employees have to pack their own desks?
That is the usual way to keep cost down, with the movers supplying crates and labels. Full packing by the crew is also an option, priced separately.
Do you move furniture systems and IT too?
Both are common parts of a move. They can be handled by the same plan, with the IT portion coordinated with your own technical staff.
