Office Furniture Installation: Delivery, Assembly and Placement

Office furniture installation is the delivery, unpacking, assembly and placement of new furniture: desks, benching, workstation systems, task chairs, storage and meeting tables. It happens in an unoccupied or lightly occupied space, according to a floor plan, before staff arrive.

A good install is mostly preparation. The installer needs the floor plan with each piece marked, the delivery date from the dealer, a clear space to stage cartons and an elevator and dock booking. Pieces from major systems come with manufacturer instructions, such as those from Steelcase, Herman Miller, Haworth or Teknion, and they should be followed.

Installation also includes the tail end: removing cartons and packaging, adjusting chairs and desks, and walking the floor with a checklist so missing or damaged pieces are reported to the dealer while the warranty process is still easy.

  • Placement to the floor plan, with leveling and adjustment
  • Removal of cartons, pallets and packaging
  • Punch list of missing, damaged or incorrect pieces

What changes the price

Quantity and complexity
A run of simple desks installs faster than panel-based systems with electrical components.
Floor plan precision
Clear marked plans save time. Plans that change on the day cost more.
Staging and access
A clear staging area and good elevator access keep the pace up.
Delivery timing
Partial or late deliveries mean extra visits.
Packaging removal
Large orders produce a lot of cartons and pallets to haul away.
Schedule
Evening or weekend installation may cost more but suits occupied buildings.

What a good quote spells out

  • Whether the quote follows the manufacturer's installation instructions
  • Who receives and checks deliveries, and how shortages are recorded
  • How packaging is removed and where it goes
  • How changes to the floor plan on the day are handled
  • A punch-list process for damaged or missing items

Furniture Installation: questions people ask

Is installation included when buying office furniture?

Sometimes the dealer includes it and sometimes it is quoted separately. Check the order, then request a quote if you need an independent installer.

Can an installer assemble existing furniture?

Yes, relocated furniture can be rebuilt in a new space. Disassembly and reassembly are often handled together.

How long does an install take?

From a day for a small suite to several weeks for a multi-floor office. Piece count, system type and access set the pace.

What if pieces arrive damaged?

The installer records them on a punch list so the dealer can replace them under their own terms.
