Office Moving Cost in Toronto: Typical Ranges and What Drives Them
Most Toronto office moves land somewhere between about $2,500 for a small 10-person suite and $40,000 or more for a 100-person floor with IT and furniture reconfiguration. The number on your quote depends far less on distance than on headcount, how many workstations have to come apart, what the two buildings allow, and whether the move has to happen after hours. Below are typical ranges and the factors that move them, so you can read a quote with some context.
All figures here are typical market ranges for the Greater Toronto Area in late 2026, in Canadian dollars, before HST. They are not a Mobilix price list. Your own move will be quoted in writing after we see the scope.
Typical cost ranges by office size
These ranges assume a local move inside the GTA, a weekend or evening schedule, standard packing by staff with crates supplied, and basic disconnect and reconnect of desktop equipment.
| Office size | Typical crew and time | Typical range (CAD, before HST) |
|---|---|---|
| Up to 10 people | 3 to 4 movers, one truck, 6 to 10 hours | $2,500 to $6,000 |
| 20 to 30 people | 5 to 6 movers, one or two trucks, one long evening or a Saturday | $6,000 to $14,000 |
| 50 people | 8 to 10 movers, two trucks, a full weekend | $12,000 to $25,000 |
| 100 people or more | 12+ movers plus IT and installer crews, phased over one or two weekends | $25,000 to $60,000+ |
A rough rule some facility managers use for a first budget is $250 to $500 per workstation for a straightforward move, rising to $600 or more per seat when systems furniture has to be taken apart and rebuilt. It is a sanity check, not a quote.
Hourly rates versus fixed project pricing
Smaller moves are often billed hourly. In Toronto, commercial crews typically run around $160 to $260 per hour for three movers and a truck, with each extra mover adding roughly $45 to $70 per hour. Evening, weekend and statutory holiday work usually carries a premium, and most companies charge a minimum of three to four hours plus travel time.
Larger moves are usually priced as a fixed project. The quote bundles labour, trucks, materials, IT handling and furniture work into one number tied to a written scope. Fixed pricing protects you from overruns caused by slow elevators or a delayed loading dock, but only if the scope is accurate. If the quote was built on a guess, expect change orders.
What pushes a Toronto office move quote up
Building rules and elevator access
Downtown towers along Bay, King and Front Street commonly require moves to be booked through property management, often with a certificate of insurance naming the landlord, a reserved freight elevator, and loading dock time slots. Many limit moves to evenings and weekends. If the freight elevator is shared or only available for a four-hour window, the crew needs more people to move the same volume in less time, and that shows up in the price.
Ask both your current and your new building for their move rules before you request quotes. A mover who prices without them will either pad the number or come back later with extras.
Systems furniture
Cubicle panels, benching systems and height-adjustable desks are where labour hours pile up. Taking apart and reinstalling systems furniture to manufacturer specs takes trained installers, labelled hardware and a floor plan for the new space. Moving workstations "as is" on the same layout is cheaper than reconfiguring them into a new plan. If you are switching from cubicles to benching, it is often worth pricing new furniture against the cost of moving the old. See our notes on modular furniture relocation for what this work involves.
IT equipment and server racks
Desktop disconnect, wrap and reconnect is usually included at a basic level. Anything beyond that costs more: anti-static packaging, labelled cable mapping, chain-of-custody logs for devices holding client data, and especially server racks or network closets. Server and network moves are often scheduled as a separate phase with your IT team or managed service provider on site. Our server room moving checklist covers how to plan that piece.
Timing
Weekend and overnight work costs more per hour but often saves money overall, because staff are not standing around unable to work. End of month, end of quarter and the weeks around lease expiries are the busiest windows in Toronto. Booking eight to twelve weeks out gives you more scheduling choice.
Winter adds its own costs. From November to March, crews need floor protection for salt and slush, and a storm can push a weekend move by a day. Build a buffer into the plan rather than paying a rush premium to recover.
Distance and parking
Within the 416, distance is rarely the main cost. Traffic, street parking and dock access are. A move from a downtown tower to a business park in Mississauga, Vaughan or Markham adds travel time between loads, but the suburban side is often easier and faster to load. Moving trucks parked on city streets may need a temporary permit from the City of Toronto, and some downtown streets have rush-hour restrictions that limit when a truck can sit at the curb.
What can lower the cost
- Purge before you pack. Every filing cabinet you shred or recycle is one less to move. Decide early what goes to liquidation, donation or storage. Our comparison of furniture liquidation versus storage walks through the trade-offs.
- Have staff pack their own desks. Supplied crates and a simple labelling system cut crew hours.
- Give the mover real floor plans. Accurate drawings of both spaces, with a seat number for every person, mean a tighter fixed quote.
- Book the elevators yourself, early. Confirmed dock and elevator windows let the mover plan the right crew size.
- Keep the scope stable. Last-minute layout changes and "while you are here" extras are where budgets drift.
Costs people forget to budget for
The moving company quote is usually not the whole bill. Plan separately for:
- Telecom and internet installation at the new space, which can take several weeks to schedule
- Low-voltage cabling and network setup
- Decommissioning the old space under your lease (patching, painting, removing cabling)
- Cleaning at both sites
- Temporary storage if the new space is not ready on time
- Overtime for your own IT staff or provider on move weekend
If your current lease has restoration clauses, read our guide on decommissioning an office lease before you sign off on a move date.
How to compare quotes
Get at least three written quotes based on the same scope. Check that each one states the crew size and hours, what is included for IT, how systems furniture is handled, what packing materials are supplied, how damage claims work and what triggers extra charges. A low quote that leaves out furniture reassembly or elevator waiting time is not actually lower. Also ask how valuation coverage works for your goods, since standard carrier liability is often limited by weight rather than value. Our article on commercial moving insurance in Canada explains the main options.
Frequently asked questions
How much does it cost to move a small office in Toronto?
A small office of up to about 10 people typically costs between $2,500 and $6,000 to move within the GTA, before HST. The low end assumes a simple layout, staff packing their own desks and easy elevator access. Downtown tower rules, after-hours scheduling and furniture disassembly push it toward the higher end.
Is it cheaper to move an office on a weekend?
The hourly rate is usually higher on weekends, but the total cost to the business is often lower because staff keep working during the week and the building elevators are free. For most offices, a Friday evening start with the new space working by Monday morning is the best value.
How far ahead should I book an office mover in Toronto?
For an office of 20 people or more, start eight to twelve weeks ahead. That gives you time to get building approvals, book freight elevators at both addresses and compare quotes on the same scope. End of month and end of quarter weekends fill up first.
Do moving companies charge HST on office moves in Ontario?
Yes. Moving services in Ontario are subject to 13% HST, and most quotes are shown before tax. Make sure you compare quotes on the same basis.
